Quick answer

A Vietnam incentive trip usually runs 5 to 8 days: Hanoi plus a night on a Ha Long or Lan Ha Bay cruise, Hoi An’s old town and a beach resort in Da Nang or Phu Quoc. Domestic flights are short, 4–5★ hotels are plentiful, and a local DMC can send a day-by-day proposal with named hotels within 24 working hours.

An incentive trip has one job: to make the people who earned it feel that it was worth it. That means the flight must not swallow the trip, the hotels must be better than what guests would book for themselves, and the programme needs a few moments that no package holiday can offer. Vietnam does this well, because a lot of variety sits within short flights: a thousand-year-old capital, a UNESCO-listed bay of limestone islands, a lantern-lit trading town and warm beaches. Below is how we put incentive programmes together as a destination management company in Hanoi, with sample itineraries and the practical details planners ask about.

Why Vietnam works for incentive groups

  • Short internal distances. Hanoi to Da Nang is about 1 hour 20 minutes by air; Hanoi to Phu Quoc or Ho Chi Minh City about 2 hours. Ha Long Bay is 2.5 to 3 hours from Hanoi by expressway.
  • Hotel depth. Five-star city hotels in Hanoi and Ho Chi Minh City, large beach resorts with meeting rooms in Da Nang, Hoi An and Phu Quoc, and overnight luxury cruises on Ha Long and Lan Ha bays.
  • Experiences that feel exclusive. A private dinner in Hoi An’s old town, sunset on a cruise deck, a cooking class reserved for your group, a cyclo parade through Hanoi’s Old Quarter.
  • Entry. Many nationalities can travel visa-free for short stays and everyone else can apply for an e-visa of up to 90 days on the official portal evisa.gov.vn. Our Vietnam e-visa guide explains the steps.

Three sample incentive programmes

These are illustrations of how a programme is shaped, not fixed packages. Every proposal is built around your dates, group size, flights and the message the company wants to send.

Programme Days Route Signature moment
North and centre 6 Hanoi – Ha Long or Lan Ha Bay (1 night on board) – Da Nang – Hoi An Gala dinner on deck at sunset; private evening in Hoi An’s old town
South and island 5 Ho Chi Minh City – Mekong Delta – Phu Quoc Beach dinner and awards evening at the resort
Grand tour 8 Hanoi – Ha Long Bay – Hoi An – Ho Chi Minh City Cyclo parade in Hanoi, lantern-making in Hoi An, farewell dinner in Saigon

Six days in the north and centre

Day 1: arrive in Hanoi, welcome dinner. Day 2: Old Quarter by cyclo, the Temple of Literature, an afternoon free for shopping. Day 3: drive to Ha Long or Lan Ha Bay, board an overnight cruise, kayaking and a dinner on deck. Day 4: morning on the bay, return to Hanoi and fly to Da Nang. Day 5: a free morning at the beach resort, a cooking class or team activity in the afternoon, and a private evening in Hoi An. Day 6: departure from Da Nang.

Five days in the south

Ho Chi Minh City for the first night, a day on the Mekong Delta waterways, then a short flight to Phu Quoc for three nights at a self-contained resort. The format suits groups that want rest as much as sightseeing: a half-day meeting, beach time, a sunset awards dinner. Phu Quoc’s dry season runs roughly from November to April.

Eight days, north to south

The longest version links Hanoi, the bay, Hoi An and Ho Chi Minh City with two domestic flights. It is the best choice when the group has flown a long way and the company wants participants to see the whole country.

Reward moments that work

  • A night on the bay. For groups that fit one or two cruise ships, a night on board is hard to beat. Larger groups can stay in a bay-side hotel and charter a day cruise for the gala.
  • Hoi An after dark. The old town is a UNESCO World Heritage site and a lantern-lit evening there is a natural setting for a private dinner. We check what is permitted for the venue and keep a covered option ready.
  • Hands-on culture. A private cooking class, a lantern workshop or a guided cyclo ride gives a group something to do together rather than watch.
  • Recognition built into the programme. Awards on the final evening, branded touches in rooms, a short speech by the CEO on the cruise deck.

Hotels, transport and guides

We propose named hotels in every quote rather than “4★ or similar”. Beach resorts we often suggest include Pullman Danang Beach Resort, Olalani Resort Da Nang, Palm Garden Beach Resort Hoi An and Almanity Hoi An Resort & Spa in the centre, and The Shells Resort & Spa Phu Quoc, Radisson Blu Resort Phu Quoc, Novotel Phu Quoc Resort and Seashells Phu Quoc Hotel & Spa in the south; we confirm meeting-room capacity and availability before quoting. Coaches are private and air-conditioned, sized to the group, and larger groups are split across vehicles with a guide in each. English-speaking guides are standard; guides in Italian, German, French, Spanish, Portuguese, Russian, Chinese, Arabic and Hebrew can be booked on request in Vietnam, and in Cambodia, Laos and Thailand subject to availability.

When to go

For a north-and-centre programme, March to May and September to early November work well in the north; Da Nang and Hoi An are at their best from roughly March to August, while the central coast has its rainy and storm season from about September to December. Phu Quoc is best from November to April. Avoid the week around Lunar New Year (6 February 2027) if you need many rooms, as many services close and hotels fill early. Our month-by-month guide has the detail.

Group terms and how the quote works

For international groups and partner agencies we apply one free place (FOC) per 16 paid rooms, hold peak-season rooms on request, and confirm the booking with a 30% deposit, with the balance due 45 days before arrival. One coordinator stays on the file from the first proposal to the farewell dinner, and a 24/7 duty line is open while the group travels. Travel agencies receive net rates and white-label documents; see how we work with agencies.

To start, send us your dates or month, number of guests and rooms, nationality, hotel category and the purpose of the trip through the form on our MICE and group travel page. You receive a day-by-day proposal with named hotels and pricing by group size within 24 working hours.

Frequently asked questions

How many days does a Vietnam incentive trip need?

Five to eight days on the ground is typical. Five days suit one region with a beach stay; six to eight days allow Hanoi, a night on Ha Long or Lan Ha Bay and Hoi An, or a north-to-south route with two domestic flights.

What group size can you handle?

We organise groups from 10 guests upwards. For larger groups we check hotel and meeting-room capacity before quoting and split transport and guiding by vehicle.

Do you offer a free place for the group leader?

For international groups and partner agencies we give one FOC per 16 paid rooms.

How quickly do we get a proposal?

Within 24 working hours we send a day-by-day programme with named hotels and pricing by group size. Complex multi-country groups can take a little longer.
