Quick answer

For a conference in Vietnam, Da Nang–Hoi An and Phu Quoc offer large beach resorts with meeting rooms under one roof; Hanoi and Ho Chi Minh City have 5★ city hotels with ballrooms and the best international flights; Ninh Binh suits a short meeting near Hanoi. A local DMC checks capacity and availability before quoting.

Picking a conference destination is mostly about numbers: how many people in plenary, how many breakout rooms, how many rooms in one hotel, how far from the international airport, and what the weather will do that month. Vietnam has five destinations that cover most corporate briefs. Here is how they compare, with the venues we often propose and the questions we ask before quoting.

The five destinations at a glance

Hanoi: the capital for conventions

Hanoi works when delegates fly in from several countries and the programme is mostly indoors. City hotels offer ballrooms, breakout rooms and restaurants for group dinners within walking distance of the Old Quarter. Afternoons can include the Temple of Literature or a cyclo ride, and a post-conference extension to Ninh Binh or Ha Long Bay is easy to add. See our Hanoi weather guide for timing.

Da Nang and Hoi An: big resorts on the beach

This is the most complete option for a large group: wide beaches for team activities, resorts with plenary rooms and hundreds of rooms on one site, and Hoi An’s UNESCO-listed old town 30 to 45 minutes away for an evening event. The weakness is the weather late in the year, so we avoid outdoor-heavy programmes from roughly September to December. More on timing in our Da Nang season guide.

Ho Chi Minh City: business hub

For dealer meetings, distributor conferences and launches, Ho Chi Minh City has the best flight connections and a strong choice of city hotels. A day on the Mekong Delta gives delegates a change of scene without a domestic flight.

Phu Quoc: meeting plus reward

Phu Quoc suits groups that combine a half-day meeting with resort time. Self-contained resorts make logistics simple: one transfer from the airport, everything else on site. It is at its best in the dry season from November to April.

Ninh Binh: short and close to Hanoi

When the programme is one or two days, Ninh Binh saves the domestic flight. Meet in the morning, take boats through the Trang An landscape (a UNESCO World Heritage site) in the afternoon, and hold an outdoor dinner in the evening.

Combining two destinations

Many groups split the programme: two or three days of meetings in Hanoi or Ho Chi Minh City, where international flights land, followed by two nights at a resort or on the bay as the reward part of the trip. A domestic flight of one to two hours links the two, and we book seats for the whole group on the same flight where possible, with a second flight for any overflow. Delegates who must leave early can fly home from the meeting city, and those who stay on can join a short post-conference tour.

What we handle around the meeting

  • Venue search by capacity and layout, site checks and a quote split by line item.
  • Stage, LED screens, sound and lighting, registration and welcome desks, interpreters when needed.
  • Transport sized to the group, airport arrivals by flight, domestic flights for the whole group.
  • Team building, gala dinners, partner programmes and post-conference tours.
  • Meals on request: halal, kosher and Indian vegetarian.

Questions we ask before quoting

How many people in plenary and in breakouts? How many single and double rooms? Which nationalities, and do any delegates need an e-visa? What is the meeting style: theatre, classroom or cabaret? Is there a gala or awards night? With those answers we can send a first proposal with named venues within 24 working hours. For international groups and partner agencies we confirm with a 30% deposit, with the balance due 45 days before arrival, and apply one FOC per 16 paid rooms.

Frequently asked questions

Which Vietnamese city is best for a large conference?

Da Nang and Hoi An have the largest beach resorts with plenary rooms and many rooms on one site; Hanoi and Ho Chi Minh City have city hotels with ballrooms and the best international flights.

When should we avoid central Vietnam for a conference?

Roughly September to December is the rainy and storm season on the central coast, so outdoor-heavy programmes are better planned from March to August.

Can you arrange AV, stage and interpreters?

Yes. We arrange stage, LED screens, sound and lighting, registration and interpreters, and show them as separate lines in the quote.

How far ahead should we book?

For large groups, start six to nine months ahead so the preferred resort can hold rooms and meeting space, especially in peak season.
